Start with the process, not the software

Write down how the work actually flows today: who does each step, which tools they use, where data is typed twice and where things get lost. The problems on that page decide whether you need new software at all.

When off-the-shelf software is enough

Accounting, email, HR and standard sales tools are mature products used by thousands of companies. If your process matches how the product works, buying is cheaper, faster and safer than building. Adapt your process to the product before you consider building a replacement.

When custom software is worth it

Custom development starts to pay off in a few situations.

• Your workflow is a real advantage and a generic product would flatten it
• You are using several products and spending staff time moving data between them
• You need a customer or supplier portal that reflects your own rules and pricing
• A product fits at first, but the workarounds now cost more than a proper system
• You need reports or dashboards that combine data from several systems

Questions to ask any software developer

A good developer will answer these directly and in writing.

• Who owns the source code, and what licence do we get?
• Where will the software be hosted, who pays, and how are backups handled?
• What documentation and training come with handover?
• What support is included after launch, and how are changes priced?
• Can we see live examples or speak to a past client, with their permission?
• How will the system connect to what we already use?

Build in phases

Ask for a first version that solves the most painful step of the process, and put it in front of real users within weeks rather than months. Later phases can then be planned from what those users actually do, not from assumptions made at the start.

Plan the integrations early

Integration is where many projects overrun. Check early whether your existing systems offer an API, a database export or file import, and who at the other vendor can help. Some older products do not allow integration at all, which changes the design.
